Privacy Policy
Effective: July 2026. Early-access version. We'll publish a notice in your account if anything material changes.
The short version
We collect what we need to grade speech submissions and surface feedback. We don't sell it, and we don't use it to train AI models. We rely on a small set of third-party service providers to run the service. Before any under-18 student is added, their school confirms it holds guardian consent; consent can be withdrawn at any time and we delete the recordings.
What we collect
- Account info from coaches: email, display name, role description.
- Student profile data: name (entered by the coach), grade band, audience flag (minor / adult). For minors, the institution's consent attestation, plus a guardian email if the coach adds one for notifications.
- Audio recordings when a student records an attempt.
- Transcripts generated from those recordings.
- AI-generated feedback drafts and your published edits.
- Audit events: consent grants, revokes, feedback publishes, and similar — for compliance and debugging.
How we use it
We use the data to deliver the service: transcribing speech, generating AI grading drafts, presenting feedback to you and your students, and proving (when audited) that the institution attested to guardian consent before any child data was collected. We don't use your students' data to train any AI model and we don't sell it.
Third-party service providers
We rely on a small number of third-party providers to run the service. We share only the data each one needs to do its job, they process it on our instructions, and none of them use your data to train their own AI models. We don't sell your data to anyone. The categories are:
- AI providers — speech-to-text transcription and language-model grading drafts.
- Cloud infrastructure — database, encrypted storage for audio, and account authentication.
- Email delivery — transactional email (sign-in codes, invites, feedback notifications).
- Application hosting — serving the website and app.

Students under 18
Augmind is used by schools and programs — not by children directly. Before a coach adds any under-18 student, that student's institution must attest that it has already obtained the guardian consent needed for recording, AI-assisted transcription and feedback, and coach review, and that it accepts our recording-deletion schedule. We gate the creation of every minor account and every recording upload on that attestation: until the institution attests, no minor profile, audio, or transcript can exist in our system.
Because the school holds the direct relationship with families, guardians exercise their rights — reviewing what is collected, correcting it, withdrawing consent, or requesting deletion — through their school or program, which can action it in Augmind or ask us to. Guardians can also contact us directly at hello@augmindstudio.com. When consent is withdrawn, we delete the student's recordings on the schedule in the Retention section below.
State-level protections for minors vary, so we apply this same attestation-based flow to all under-18 students — not only the under-13 children COPPA specifically protects.
Adults (18+)
A program can enroll a student who is 18 or older. Adult students consent for themselves to recording and AI-assisted processing, and can ask their program — or us — to delete their account and recordings; we do so within 30 days.
Retention
- Audio recordings: 90 days after the class's last assignment, or sooner on consent revoke.
- Transcripts + feedback rows: kept indefinitely so the student / parent / coach can revisit results later. Deleted on coach request.
- Audit events: kept indefinitely — these are the compliance trail.
The Hot Seat (adults only)
The Hot Seat is our separate practice surface for adult professionals at /hotseat. It works differently from the school product above:
- Free Pressure Test: no account, nothing stored. Your recording is transcribed and scored by AI (OpenAI Whisper + an LLM) in memory and discarded — no audio, no transcript, no score is kept. If you email yourself the report, we send it via Resend and keep a copy of that email.
- 7-Day Sprint (paid): payment is processed by Stripe on their own checkout page — we never receive or store your card number, and we never handle your card details. From Stripe we keep your email address and the payment and event reference IDs we need to reconcile the purchase and honour a refund. To run your Sprint we store your intake answers, each rep's transcript and scores, and your Day-of Card, all behind an unguessable private link. Audio itself is still never stored — recordings are transcribed, scored, and discarded in memory, same as the free test.
- Emails: your daily drills, card, and follow-up are sent via Resend to the email you used at checkout.
- We see your Sprint content. The Hot Seat is run by a small team, and a copy of your intake answers, your generated week, and every Sprint email we send you (including your Day-of Card) reaches our own hello@augmindstudio.com inbox. We read these to make sure the coaching is good and to help if you reply. They are not shared with anyone else and are not used to train AI models.
- How long we keep it. Your link stops accepting new recordings when the Sprint expires, but your scores and card stay readable at it for 90 days after that. We then automatically delete your intake answers, every transcript, and your Day-of Card, keeping only the payment record we need for accounting and refunds. You can ask us to delete everything sooner — see below; we action it within 30 days.
- Deletion: email hello@augmindstudio.com from your purchase address and we delete your Sprint data within 30 days. A refund closes the Sprint link immediately.
Your rights
Email us at hello@augmindstudio.com for any of: access your data, correct something we've gotten wrong, delete your account, revoke a parental consent, ask what we've done with a specific recording. We respond within 30 days.
Changes
If we make a material change to this policy, we'll show a notice when you next sign in and pin the new version date at the top of this page.
